Vault Wholesale – Terms & Conditions
Last updated: March 2025
Welcome to Vault Wholesale. We work hard to make buying and selling precious metals simple, transparent, and even enjoyable. These Terms & Conditions (“Terms”) govern all purchases, sales, website use, and interactions with Vault Wholesale. By placing an order, selling metals to us, or using our website, you agree to these Terms.

1. Purchasing Precious Metals & Coins from Vault Wholesale
Buying precious metals from Vault Wholesale is easy. Whether you’re purchasing a single coin or a large quantity of coins or bars, we’re here to help. You’ll find us friendly, patient, low‑pressure — and maybe even a little humorous. Maybe.
All sales are conducted by phone only. We do not sell online.
To place an order or request a live quote, call us at 209‑610‑0941, seven days a week.
2. The Ordering Process
Unless specified otherwise at the time of purchase, all products we offer are in stock and ready to ship.
Here’s how it works:
1. Call us for a price quote.
2. The price we quote is the price you pay — no commissions, no service charges, no hidden fees.
3. Once you accept our quote, your price is locked in and a binding agreement is created.
4. You will receive a trade confirmation via email within 15–30 minutes, including:
• Agreed‑upon prices
• Shipping information
• Payment instructions
• Any additional details
Please reply to confirm accuracy — especially your shipping address.
5. We will notify you when your payment has been received and provide an estimated shipping date.
6. Shipping typically occurs within 1–3 business days after your funds clear, unless stated otherwise at the time of lock.
• Bank wires usually clear the same day.
• Checks may take 3–5 business days to clear.
7. Once your order ships, we will email you a shipping confirmation with tracking information.
8. After delivery, we will follow up to ensure you are 100% satisfied with your Vault Wholesale experience.
3. Payment Terms
Payment is due within five (5) business days of the trade confirmation being issued.
Payment not received within this timeframe may result in default and cancellation of the trade.
Trades in default are subject to our Market Loss Policy.
Accepted Payment Methods
We accept:
• Bank wires
• Personal checks
• Company checks
We do not accept cash, credit cards, debit cards, money orders, cashier’s checks, Zelle, PayPal, Venmo, or cryptocurrency.
Payment Instructions
Bank wire instructions — or our mailing address if paying by check — will be included in your trade confirmation email.
If Paying by Check
• Please mail your check within 24 hours of order confirmation.
• You may send it via regular mail or with tracking (Priority Mail, Certified Mail, FedEx, etc.).
• If you use tracking, please email us the tracking number.
• Checks typically take 3–5 business days to clear.
• Your order will be approved for shipment within 1–3 business days after payment clears, unless otherwise stated at the time of lock.
4. Failure to Pay / Cancellation
Once you acknowledge a confirmed order to buy from (or sell to) Vault Wholesale, a legally binding agreement is created.
Cancelled or unpaid orders are subject to a penalty of up to 10% of the trade value or Market Loss — whichever is greater.
See our Market Loss Policy for full details.
5. Market Loss Policy
A “Market Loss” occurs when the market price of the metal moves against Vault Wholesale between the time your price is locked and the time your order is cancelled, unpaid, or otherwise defaulted.
If Vault Wholesale incurs a loss due to market movement, you agree to pay the difference between:
• The price at which your order was locked, and
• The current market price at the time of cancellation
If the market moves in your favor, no credit is issued.
Cancelled or defaulted trades are subject to the greater of:
• A 10% cancellation fee, or
• The Market Loss amount
This policy protects both parties by ensuring price integrity in a volatile market.
6. Return Policy
We guarantee your complete satisfaction on all purchases.
• We offer a three‑day unconditional examination period for all certified and non‑certified coin purchases.
Contact us within three (3) days of receiving your order if you wish to return eligible items.
After three days, all sales are final.
• Returns may be subject to a 10% restocking fee or Market Loss — whichever is greater.
• No returns on bullion‑related products, including “junk” silver.
(We will buy back any bullion product at our current bid price.)
• All returns must follow the shipping instructions we provide.
• Do not insure the package; we insure it privately.
• Risk of loss remains with the customer until Vault Wholesale signs for and verifies the contents.
• All incoming packages are opened and logged on camera for accuracy and security.
7. Buyback Guarantee
Vault Wholesale guarantees to buy back any and all products purchased from us at our current daily bid price.
How it works:
• Call us at 209‑610‑0941 for a quote and (hopefully) to lock your sell order.
• We will confirm your transaction verbally and via email within 30–60 minutes.
• You will receive specific shipping instructions and a pre‑paid shipping label.
• Once we receive and verify your package, we will notify you by email.
• Payment timing varies by product type:
• Common bullion items shipped to our Buffalo facility typically pay out within 1–2 business days.
• Numismatics may take longer.
• We will set expectations clearly at the time of lock.
• Payment by bank wire is available; a $25 domestic wire fee applies.
• Clients acknowledge that bid/ask spreads vary with market conditions and that precious‑metals prices are volatile.
8. Reportable Transactions
Purchases from Vault Wholesale
Purchases are not reportable, except for cash payments over $10,000.
Since we do not accept cash, Form 8300 does not apply.
Sales to Vault Wholesale
Certain sales to a dealer may require IRS Form 1099‑B, depending on product type and quantity.
Examples include (but are not limited to):
• 1‑kilo gold bars
• 25+ identical 1‑oz gold coins (Maple Leafs, Krugerrands, Onzas)
• 1,000‑oz silver bars
• 1,000+ identical 1‑oz silver rounds
• 25+ oz of platinum bars
American Eagles (gold, silver, platinum) are not reportable.
If a transaction is reportable, we will request your taxpayer information.
If you decline to provide it, we must file the form without your SSN and apply backup withholding as required by the IRS.
9. Risk Disclosures / General Terms
Purchases of coins, bullion, and collectibles involve substantial risk. Prices are volatile and influenced by economic conditions, political events, monetary policy, supply and demand, and other factors. Past performance is not a guarantee of future results.
Purchases should be made only with discretionary funds.
